reflexClick-Dummy — Measurable Booking Journey
● Concept Preview for Reflex Winkelmann

From Isolated Bookings to Actionable Visibility

Reflex Training is currently booked entirely by phone or email, which works operationally but gives limited visibility into where inquiries come from and how they convert. Instead of starting with an analysis phase, we start with the target picture: one dashboard connecting website visitors, bookings, show-up rate and source — then show exactly how we'd get there, technically.

This is what actionable visibility could look like

Instead of another report at the end of an analysis phase, we lead with the target picture: one dashboard connecting website visitors, bookings, show-up rate and campaign source — actionable tools, not slides. Example below with illustrative data for "Reflex Training".

02 · Reality Check

The Current Visibility Gap

Today, training inquiries are handled through phone and email. That works operationally, but it creates limited visibility into source, follow-up status and business impact. This is the real "Kontakt" page today:

Sign-ups happen only by phone or email today — there's no structured way to see source, campaign attribution, or a link to systems like Google Ads or CRM.
03 · How We Get There

From click to confirmed appointment — and back into your systems

Click through the proposed booking flow below, then see the technical architecture behind it. The customer-facing pages stay in German (Reflex's actual market); the mechanics are explained here in English.

Step 1 of 4 · Website with booking widget

The technical architecture behind it

Website → Calendar → MVP Tracking Layer → Dashboard — with an optional feedback loop into systems like Google Ads or CRM, so future campaigns and follow-ups can optimize toward attended appointments instead of just bookings.

1
🌐
Website

Booking widget on the training page. On click, a source identifier (e.g. gclid from a Google Ads campaign) is captured if present in the URL.

2
📅
Zeeg Calendar

The prospect books an open slot directly. Zeeg generates a unique invitee_uuid per booking.

3
📊
MVP Tracking Layer

Tracking_Raw (source ID per website click, e.g. gclid) is matched via UUID with the Zeeg export (status: booked/attended). Currently implemented as a structured spreadsheet — the fastest way to prove the model.

4
🎯
Offline Conversion Upload (optional)

Only appointments actually attended, with a source ID, are output in the required format for offline conversion imports (e.g. Google Ads) and uploaded on a regular schedule.

5
📈
Dashboard & Optimization Loop

Campaign platforms — e.g. Google Ads — can learn which clicks lead to real appointments if this loop is activated. In parallel, the live dashboard from step 01 is generated.

Automatic filter logic in the tracking layer ("Offline_Upload" tab)
1Status = attendedOnly appointments marked "attended" in the Zeeg export count as a conversion — not the booking itself.
2UUID matchThe Zeeg UUID must match an invitee_uuid in Tracking_Raw.
3Source ID presentOnly bookings with a source identifier (e.g. gclid) can be fed back into a campaign platform — organic appointments are excluded from that specific loop.

Fields exported: Google Click ID, Conversion Name, Conversion Time (appointment start, Europe/Berlin timezone), Conversion Value, Conversion Currency — in the format required for offline conversion imports (e.g. Google Ads). Recommended upload frequency: at least weekly.

04 · Why It Matters

What this changes for Reflex

Reflex Training is not necessarily the biggest revenue driver at Reflex — but it's a contained, low-risk place to prove this model. The core problem isn't missing software; it's the missing link between marketing/sales activity and business outcome. Once proven here, the same approach extends to exhibitions, the product selector and other higher-impact touchpoints.

🎯
Offline Marketing Becomes Measurable

Trainings, exhibitions and consultations become quantifiable touchpoints — not just "we attended event X".

📉
Smarter Campaign Steering

Campaign platforms receive a high-quality signal — an attended appointment, not just a click — and can shift budget toward what actually performs. Google Ads is one example among several possible integrations.

🧩
A Building Block for the Bigger Picture

The same UUID/gclid logic can later be applied to exhibitions, the product configurator and other touchpoints — the foundation for the planned 2026 awareness strategy.

"We don't start with an analysis and end with recommendations — we start by showing what the target picture looks like. To make it work reliably, we then map the touchpoints, systems and data flows behind it."
Starting point for the conversation with Jacek
05 · Proposal

Marketing & Sales Transparency Sprint

Before implementing this reliably across Reflex, we need to map the relevant touchpoints, systems and data flows once. The sprint defines the target picture, identifies the most relevant visibility gaps and prioritizes the first MVP implementation. Instead of a classic consulting project, this is a compact, execution-focused entry point:

01
Target Picture

What should be visible at the end? A shared target picture for reporting and attribution.

02
Touchpoint & Data Reality Check

Which touchpoints (training, exhibitions, product selector, social) really exist — and what data do they actually generate?

03
Gap Analysis

What's missing to make the target picture technically and organizationally possible?

04
MVP Roadmap

Which pragmatic first step creates visible transparency fastest — e.g. this booking flow case?

05
First Implementation Option

A concrete recommendation for where to start — e.g. this booking flow — with scope, effort and expected visibility gain.

Ready for the next step?

This click-dummy shows the principle using Reflex Training. In the sprint, we apply the same logic to further touchpoints and connect it to CRM and revenue data.
